  • Executive Assistant

    Position

    Global Energy Monitor is seeking an experienced Executive Assistant to join the Administrative team.

    The Executive Assistant is responsible for providing comprehensive administrative and operational support to the Executive Director. This role helps ensure the Executive Director is well prepared, organized, and supported in managing priorities, meetings, communications, travel, and follow-up.

    In service to the Office of the Executive Director, this role will provide administrative and coordination support to the broader Executive Leadership Team and Leadership Team, as capacity allows and as prioritized by the Executive Director. This role plays an important part in helping ensure smooth, efficient operations in a remote and globally distributed organization. This role will also support key flagship initiatives currently being overseen by the Executive Director such as the Open Energy Research and Analytics Consortium, with administrative and coordination support. 

    The Challenge

    According to the Intergovernmental Panel of Climate Change (IPCC), we have less than a decade to make massive and unprecedented changes in the global economy to avoid the worst impacts of climate change. To meet that challenge,
    Global Energy Monitor
     is creating trackers and other tools to provide detailed information on energy facilities, sponsors, and financing.

    Global Energy Monitor (GEM) is a global, independent nonprofit network of researchers tracking energy infrastructure worldwide, from power stations and coal mines to steel plants and shipping terminals, for the worldwide climate and clean energy movement.

    Since its founding in 2007, GEM has become an essential resource for advancing a just energy transition, producing open-source data and analysis that drive transparency and informed action. Its work is widely used and cited across the climate and energy landscape, from Greenpeace and The Wall Street Journal to platforms like Bloomberg Terminals, and institutions including the International Energy Agency (IEA), IPCC, Climate Analytics, and Carbon Tracker Initiative.

    GEM serves a broad community of stakeholders, including governments, financial institutions, journalists, researchers, and advocates, providing trusted, independent information that supports evidence-based decision-making and real-world impact.

    Location

    Preference will be given to those living in the United States, however, GEM may be able to hire employees worldwide in countries where our PEO (Deel) operates, except in countries classified as Level 3 or 4 on the
    U.S. Department of State’s
     website. Additionally, due to regulatory and data security requirements, GEM cannot hire employees who will be working from China. GEM does not have a central office; instead, GEM works with employees to create suitable home offices catered to the needs of their role.

    Responsibilities and Duties

    Executive & Administrative Support

    • Manage calendars, appointments, and meeting logistics.
    • Track tasks, priorities, and follow-up items to ensure timely execution and accountability.
    • Draft, edit, and manage correspondence, reports, internal documents, and document organization systems to ensure clear communication and organized recordkeeping.

    Travel Coordination

    • Makes and manages logistical and booking details related to travel, including flights, lodging, and ground transportation.
    • Provides timely solutions to unanticipated changes in travel schedules to minimize disruption.
    • Ensures all travel arrangements and related tasks are completed with exceptional accuracy and attention to detail.
    • Help the Executive Director prepare for meetings, deadlines, and internal and external engagements.

    Logistics for Leadership Team and Executive Leadership Team Retreats and Events

    • Provide administrative support for team events, off-sites, and retreats.
    • Coordinate vendor communication, venues, materials, and scheduling.
    • Assist with virtual and in-person event setup and follow-up logistics.

    Communication & Professionalism

    • Represent GEM professionally in interactions with external partners, Board members, vendors, and donors.
    • Maintain discretion, confidentiality, and professionalism in all communications and work products.
    • Proactively identify opportunities to streamline workflows and improve support systems.
    • Exercise sound judgment when handling sensitive information and competing priorities.

    Required Qualifications

    Visa Sponsorship Policy (Role Eligibility for US-Based Employees)

    Visa sponsorship is not available for this position. Candidates must be authorized to work in the United States at the time of hire and must not require current or future employment-based visa sponsorship at any stage of employment.

    Pay and Benefits

    This is a full-time, 40-hour-per-week, work-from-home position. The pay rate is $40.27 per hour for locations in the United States.

    The Institute of Human Rights and Business (IHRB) is the leading international think tank on business and human rights. IHRB’s mission is to shape policy, advance practice, and strengthen accountability in order to make respect for human rights part of everyday business.

    Job Overview

    This is a senior leadership role that leads through empowerment rather than control – and, above all, it is a role about people. Its first job is to build the conditions, the systems, structures and culture, in which a small, capable, globally dispersed team can be happy, healthy and high-performing, and do their best work.     Operational effectiveness and strategic enablement (40%)

    • Drive organisational effectiveness across all central functions – identifying improvements, scoping high-impact projects, preempting problems, and removing blockers to ensure systems support rather than constrain the team
    • Lead IHRB’s approach to AI deployment and operational optimisation, identifying where intelligent tools can create leverage, embedding them into team workflows, building team capability through training and structured support, and developing IHRB’s position on the responsible use of AI internally given our human rights mission, working closely with Head of Communications and the CEO
    • Lead the operational management of IHRB’s internal communications function in partnership with the Head of Communications
    • Lead the continuous improvement of IHRB’s systems and processes – including project management (Monday.com), CRM, financial management, IT security, and operations – maintaining a philosophy of innovation and agility
    • Act as a strategic partner to the CEO and Heads of Programmes, contributing to organisational strategy and translating it into operational reality through structured project management
    • Act as IHRB’s Compliance Officer for anti-bribery, corruption, and money laundering matters, ensuring timely reporting and ongoing adherence to best practice

    Finance and financial sustainability (30%)

    • Lead the execution of IHRB’s financial strategy, including the trajectory toward a fully recoverable core budget by end 2027
    • Own and embed the Full Cost Recovery model, ensuring it is applied consistently across all grant applications and budgets, and that programme areas understand and use the FCR sliding scale approach
    • Manage financial planning and budgeting processes across organisational and programme level – working closely with the CEO, Programme Heads, and Finance Manager to ensure well-considered, forecasted numbers and alignment with organisational goals
    • Support fundraising processes at both organisational and programme level, including due diligence, budgeting, contracting, and donor financial management
    • Maintain oversight for all IHRB subsidiary entities (IHRB Trading Ltd, IHRB Nordic), ensuring alignment with legal, financial, governance, and operational requirements in each jurisdiction
    • Oversee financial reporting to funders and ensure quality and timeliness of all funder financial submissions
    • Manage relationships with external advisors – accountants, auditors, legal counsel, suppliers and EOR providers – ensuring IHRB receives high-quality, cost-effective support

    People leadership (30%)

    • Oversee the People & Culture function – supporting the Governance and People Operations Manager to design and implement strategies across recruitment, engagement, inclusion, development, and progression that ensure IHRB attracts, retains, and grows brilliant people, and fosters a positive working environment aligned with our values
    • Line manage the Finance Manager, the Executive and Organisational Support Coordinator, the Governance and People Operations Manager – coaching and developing each in their respective domains, ensuring they have the support and clarity to lead their areas effectively, and creating the conditions for the central operations function to work as a single, integrated team
    • Use engagement data to develop and communicate a clear, inspiring people strategy and roadmap aligned with organisational goals
    • Lead the embedding of IHRB’s accountability and performance framework, ensuring quarterly cycles run consistently across all levels and that career progression is visible, fair, and structurally supported
    • Identify and address organisational training and development needs – including the personal development budget, learning days, and structured AI and tooling capability building with clear guidance on responsible use
    • Support the CEO on org development, ensuring structures continue to adapt to changing needs and enable the growth of everyone in the team
    • Take a lead role in anticipating ways to evolve and sustain IHRB’s culture through the next stages of development

    Experience, Skills & Culture Add

    What we can offer you

    Women for Women International is seeking a consultant with expertise and experience in strategic advocacy, curriculum or training development, and working with diverse civil society organizations to support a global advocacy project. 

    Expected activities:

    1.  Develop Advocacy Roadmap Methodology 
    • Define the components of a strong advocacy roadmap
    • Design a roadmap template 
    • Ensure alignment with project goals (multi-level, WRO -led advocacy) 

          2. Design the Advocacy Toolkit

    • Develop 12 structured, practical toolkits tailored to WROs and country teams, prioritizing usability in diverse conflict – affected contexts, input from partners, accessibility, and an evidence -based advocacy approach.

          3. Design the Process (How to use the advocacy toolkit in practice) 

    • Develop clear, step -by -step guidance for: o translating data into advocacy priorities of using data and advocacy priorities to develop advocacy roadmaps

    Background and Objectives

    This consultancy supports a new phase of work that builds on Women for Women International’s 2024 From Asking to Action global Women, Peace and Security (WPS) consultation, which engaged more than 6,500 women and 54 women’s rights organizations (WROs) across 14 conflict-affected countries. This year, we will update our 2024 consultation findings to reflect changes in each country since the original consultation.  The updated findings will form the foundation for advocacy priority-setting and the co-creation of tailored advocacy roadmaps with more than 20 partner WROs across 13 conflict-affected countries, thereby supporting joint advocacy and coalition-building efforts.

    Consultancy Purpose: Design and develop an advocacy toolkit and supporting methodology that enables country teams and women’s rights organizations to translate quantitative survey data, qualitative focus group discussion and interview data, and policy and landscape analyses into clear advocacy priorities and actionable advocacy roadmaps. This consultant will: 

    • Develop advocacy roadmap templates 
    • Design a multi -level advocacy toolkit, including adaptation and contextualization for 12 countries 

    Skills, Knowledge and Expertise

    Education:

    • Graduate degree in social sciences, public policy, public health, social work, or other relevant field. 

    Experience:

    • At least 5 years of experience in advocacy strategy design and designing toolkits, frameworks, or guidance materials to develop/strengthen advocacy capacity and support diverse approaches to implementing advocacy plans.
    • Direct experience working with WROs, women affected by conflict, and/or women in settings of extreme poverty and gender discrimination. 
    • Thematic experience in feminist advocacy, women’s leadership, or WPS. 
    • Translating complex input and processes into clear, practical guidance.
    • Producing concise and accessible learning outputs for diverse stakeholders.

    Skills:

    • Excellent written and verbal communication skills, including the ability to develop clear and high-quality final draft documents and facilitate virtual or asynchronous feedback sessions or channels. 
    • Professional, working-level computer skills, including word processing, developing slide decks or visual presentations, and online video call platforms.
    • Fluency in English.

    Qualities:

    • Ability to work both independently and collaboratively with team members from different backgrounds and cultures.
    • Committed to meeting clear deadlines.

    Preferred:

    The role

    We’re looking for a creative, thoughtful and organised Communications Graduate to help us tell people about Chayn’s work and reach more survivors, supporters and partners.

    Your biggest challenge

    Communicating about gender-based violence requires care.

    Our content needs to be honest about harm without being sensationalist, and warm without becoming vague or patronising. We speak to people who may be experiencing trauma, as well as supporters, partners, funders and organisations working in the sector.

    You’ll need to think carefully about language, context, accessibility and power. Sometimes you’ll be working with complicated research or difficult subject matter and will need to find a way to make it understandable without losing its meaning.

    We don’t expect you to do this alone. You’ll work closely with the Head of Communications and other members of the team, using Chayn’s trauma-informed design principles and safeguarding approach to guide your work.

    Fundraising for work on gender-based violence can be complicated.

    You’ll need to communicate the urgency and value of Chayn’s work without sensationalising survivors’ experiences or presenting people only through the harm they have experienced. Our fundraising must reflect the same trauma-informed, survivor-centred and feminist principles that guide the rest of our organisation.

    You’ll also need to balance different priorities and deadlines. Funding applications often require input from several people, detailed information and quick turnaround times.   • Finance Team – Two Roles

    About the roles

    Both roles sit within our finance team, which currently consists of the Controller and Senior Financial Analyst and, in collaboration with the COO, oversees over $22M in spending annually. Whether you’re earlier in your finance career or bring several years of accounting experience, we’re looking for someone who is detail-oriented, organized, and motivated to support the financial operations of an impact-driven organization.

    Both roles are fully remote and open to candidates in the US only who have valid US work authorization.

    The Finance Associate is focused on transactional accuracy and day-to-day bookkeeping — the engine that keeps our financial records current and clean. The Staff Accountant takes on greater ownership of accounting functions, adding analytical depth, oversight responsibilities, process development, and strategic collaboration with the Controller. Our finance team works in Sage Intacct as our accounting platform, alongside project management software and other payment/HR management systems.

    Key Responsibilities

    Shared across both roles:

    • Recording and reconciling credit card transactions, ensuring all receipts are submitted and charges are correctly coded
    • Supporting month-end close processes to ensure transactions are entered accurately and on time
    • Assisting the finance team in enforcing RP’s expense policies
    • Assisting with the annual audit by providing necessary documentation and supporting schedules

    • Preparing and reviewing balance sheet reconciliations for month-end and year-end close; maintaining supporting schedules and processing assigned journal entries
    • Managing and overseeing day-to-day Accounts Payable and Accounts Receivable activities, ensuring timely vendor and contractor payments and accurate processing of deposits and expense reimbursements
    • Managing RP’s credit card platform, including user administration, card creation, and budget monitoring
    • Developing and maintaining spend analysis across departments and grants to support budgeting, forecasting, and financial reporting

    Skills, Competencies, Knowledge, and Experience

Our paint programs involve generating data, supporting governments with the introduction and enforcement of regulation, and assisting manufacturers in switching to lead-free paints. Beyond our paint programs, we are piloting interventions to address other sources of lead exposure, such as spices and cosmetics.

    Since our founding in September 2020:

    • We have initiated lead paint elimination programs in 40 countries; completed 33 paint studies; and agreed on goals to establish lead paint regulation with government agencies in 18 (e.g., Angola). 
    • We’ve made crucial progress in engaging with manufacturers in 22 countries (e.g., Pakistan), and in reducing the lead paint market share in Ghana, Malawi and Pakistan
    • Founders Pledge estimates that it costs $1.66 to prevent one child’s lead exposure (in expectation) through our work, making LEEP one of its most cost-effective nonprofit recommendations. Our own analysis estimates that it costs under $5 to avert one DALY equivalent through LEEP’s first 13 established programs.
    • We are a partner of the WHO and UN Environment Programme’s Global Alliance to Eliminate Lead Paint and a member of the Partnership for a Lead-Free Future.
    • We have received grants from major grantmaking organisations, including Founders Pledge, Coefficient Giving, Bloomberg Philanthropies, USAID, and Schmidt Futures.
    • We have appeared in Nature, Vox, Time Magazine, The New Yorker, Prospect, on the 80,000 Hours Podcast, and our co-founders were named in Vox’s Future Perfect 50.

    About the Role

    As a key leader in the organisation, you will manage and inspire a talented group of Program Managers, guiding them to deliver meaningful results whilst thriving in LEEP’s dynamic, fast-paced work environment. 

    This role goes beyond exceptional people management. You will provide strategic guidance to your team on the steps of our paint programs, act as a trusted escalation point for program partners, and tackle context-specific challenges with creativity. This involves offering nuanced guidance on government engagement, building strong relationships with policymakers, advising on how to tailor messaging for diverse industry audiences, and navigating cross-cultural stakeholder dynamics. You should enjoy international travel, and your adaptability will enable you to step in wherever LEEP and your team need you most.

    With significant responsibility in a growing organisation and direct line management from LEEP’s Program Director, you will collaborate closely with both LEEP’s senior leadership and your peers. Together, you’ll translate LEEP’s long-term goals into tangible outcomes, lead cross-functional projects to refine our systems and playbook, and potentially contribute beyond our lead paint programs as we broaden our scope.

    As a Senior Manager, you must bring exceptional people skills and strategic insight to a role that is critical to driving LEEP’s next phase of growth and amplifying our global impact.

    Responsibilities

    • Strategic program guidance (40%)
      • Provide strategic oversight and feedback on Program Managers’ plans and implementation
      • Support your team throughout meetings, trips, and key milestones, offering guidance while empowering them to drive forward implementation
      • Act as a trusted advisor, troubleshooting roadblocks and guiding complex decisions or adjustments as needed
      • Serve as the escalation point for key stakeholders, including government officials, who are critical to eliminating lead paint
