Program Assistant (Part-Time)
This is a fully remote position; for time zone reasons, only applicants based in the United States and Latin America will be considered.

This is a part-time (10-20 hours per week), non-exempt hourly position and is not eligible for most benefits.

Compensation is commensurate with experience.

About the position:
The CFHI Program Assistant is detail-oriented, efficient, and highly customer-service focused. They support all stakeholders, systems, and projects related to CFHI’s program operations as well as some organization-wide projects and operations. This individual serves on CFHI’s Program Team while collaborating regularly with other team members and contractors. The ideal candidate has experience managing detailed work in various systems including spreadsheets, websites, salesforce, and more. They are comfortable tracking several tasks and projects at once. They are a team player who is comfortable jumping into projects, learning quickly, taking initiative while seeking appropriate input, engaging collaboratively with team members, and generally being willing to engage creatively to help as many learners as possible access CFHI’s global health education programs and offerings. This individual thrives on a lean, fast-paced team.

Key Responsibilities:
Program Administration & Operations

  • Support administration of CFHI’s place-based and virtual programs, including one-off and cyclical tasks such as:
    • Invoicing and payment reminders
    • Participant registration and application review/processing
    • Scheduling orientations and program activities
    • Managing virtual classrooms and platforms
    • Tracking and ensuring completion of all pre-departure requirements
    • Final review and approval of student applications, custom and non-custom
    • Updating student information (e.g., flight changes, forms)
    • Administrative support (communications, reporting, troubleshooting, invoicing, etc.) for paying users of the standalone CFHI course: Pillars of Global Health. 

Communications & Stakeholder Engagement

  • Respond to inquiries from prospective and current students, academic partners, and alumni via email, phone, online chat, and other platforms
  • Maintain strong customer service and timely response practices
  • Develop and maintain relationships with CFHI’s global team to ensure effective communication and program coordination
  • Support CFHI outreach efforts as needed
  • Edit and compile slide decks as needed
  • Update and optimize website content and pre-departure materials

Internal Support & Coordination

  • Assist CFHI staff, global team and board directors with scheduling, communications, and administrative support
  • Schedule monthly pre-departure health & safety orientation and site-specific orientations
  • Represent CFHI at fairs, conferences, and other events as needed

  • Fluency in English, written and spoken. Spanish is a plus.
  • Demonstrated experience and impact in program or executive assistance work
  • Strong working knowledge of Google Workspace (Docs, Sheets, Slides, Drive) and Zoom.
