Your Role

The Operations Administrative Assistant at the GitLab Foundation plays a key role in supporting the organization’s mission to drive global impact by increasing lifetime earnings for millions. This position focuses on ensuring efficient operations by managing schedules, coordinating events, maintaining systems, and supporting organizational processes. With a focus on precision and collaboration, this role enables the foundation to achieve its ambitious goals and deliver lasting change. It’s an opportunity to contribute directly to impactful initiatives in a dynamic and mission-driven environment. This role will report directly to the Director of Operations.

Key Responsibilities

  • Scheduling & Calendar Management: Streamline scheduling across departments and organization-wide meetings to ensure goal alignment. Proactively manage calendar conflicts and maintain organized scheduling for efficient operations. Provide scheduling support to the CFO as needed.
  • Meeting & Event Coordination: Assist the Operations Director in organizing team meetings, off-site, and foundation events by managing logistics such as travel, on-site arrangements, catering, and materials. Track relevant conferences and meetings and ensure all action items are followed up.
  • Communication and Stakeholder Coordination: Act as a central point of contact, coordinating communications with internal and external stakeholders to provide timely updates and maintain alignment across departments.
  • Systems & Tools Management: Support the Operations Director in managing subscriptions, software requests, and troubleshooting across the foundation. Maintain an inventory of organizational systems and tools, assisting with their implementation and optimization. Provide training support for team members on key tools that support operations processes.
  • Process Documentation and Improvement: Assist the Operations Director in documenting standard operating procedures and identifying opportunities for operational efficiencies. Collaborate with the Director to streamline and refine processes for improved productivity, compliance, and alignment with organizational goals.
  • Website and Handbook Management: Maintain and update the foundation’s website and employee handbook. Coordinate with measurement and program teams to ensure accurate reporting of impact and modeling metrics.
  • Content Precision and Quality: Draft, edit, and review documents to ensure clarity, accuracy, and consistency, with meticulous attention to detail; includes light audio and video editing for multimedia content.
  • HR Process Support: Coordinate candidate communications, scheduling, and tool management to assist in hiring. Oversee onboarding and offboarding, set up accounts for new hires, and manage equipment.
  • Legal Documentation & Compliance Management: Support the Operations Director by organizing legal documentation, ensuring timely contract renewals, and maintaining compliance records. As directed, assist with the tracking, filing and timely execution of legal and contractual obligations.

Desired Knowledge, Skills, Experience and Personal Attributes

  • 3+ years of proven experience in a complex administrative role, preferably supporting senior leadership in a nonprofit or corporate setting.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously in a fast-paced, results-focused environment.
  • Proficient in remote work tools and platforms (e.g., Zoom, Notion, Slack, Google Workspace, and other project management tools).
  • Proficient in leveraging AI technologies to enhance productivity, streamline work, and support strategic initiatives.
  • Able to handle confidential information with integrity and discretion.
  • Excellent written and verbal communication skills, with high attention to detail.
  • Strong relationship-building and consultation skills; collaborative and adaptable
  • Comfortable with giving and receiving feedback for improvement
  • Experience with agile ways of working is a plus
  • Video/audio editing skills with tools such as iMovie are a plus
  • Demonstrated mission- and impact-orientation

Compensation and Benefits

  • Full-time remote position (must be based in the US or Colombia)
  • Base National Salary Range: $57,000-$68,000 (offers will be based on experience and location). Learn more about compensation at the Foundation.
  • Health, dental, and vision benefits covered (100% of premium covered for team members, their spouses, and dependents)
  • 401k: 10% employer contribution
  • Unlimited paid time off 
  • Additional benefits offered to team members
  • Anticipated travel: Approximately 10-15% of the time, potentially including international travel
