Job Title:                               Logistics Assistant

Department:                          Operations

Reports to:                             Administration & Logistics Officer

Duty Station:                         Nairobi 

JOB SUMMARY

The Logistics Assistant is responsible for coordinating the logistics of supplies by inspecting, receiving, issuing, and dispatching program supplies to ensure the successful delivery, storage, and use of supplies to LWF World Service in accordance with procurement work plans. Additionally, is responsible for safely transporting staff, goods, and materials as and when required.

DUTIES AND RESPONSIBILITIES

  • Ensure that all transit goods (for the field projects) are received, stored, and dispatched in a timely and efficient manner and accordance with approved procedures
  • Receive goods from suppliers, issue GRNs, and ensure that they are of the correct quality and quantity.
  • Ensure proper tagging, boxing, labeling, and storage of all stocks.
  • Ensure that all items are recorded in a ledger and that this record keeping is updated with each movement of goods.
  • Enter all receipts and withdrawals of supplies in stock records/Bin Cards (Ledger books and Stock cards) immediately.
  • Generate reports on the purchase and usage of all supplies, i.e., the movement of stock in and out of the stores, on a weekly, monthly, half-yearly, and yearly basis.
  • Placing and receiving orders to replenish stocks as needed.
  • Carry out regular stock audits across all stores.
  • Ensure that the Nairobi office generator is always in good condition and follow up with service providers for repair and services.
  • Drive company motor vehicles in the authorized classes
  • Carry out routine checks on vehicles and ensure cleanliness and tools are always in good working condition.
  • Maintain driver logbooks and complete pre-and post-trip inspections according to LWF WS operational policies, procedures, and standards for vehicle operation.
  • Adhere safety requirements and standards, particularly Kenyan road safety regulations and LWF security SOP for road travel.
  • Maintain vehicle cleanliness and functional condition at all times, including but not limited to motor vehicle insurance and inspection promptly.
  • Report all accidents and incidents involving the driver or vehicle promptly to the supervisor.
  • Undertake routine checks, repairs, and maintenance of the vehicles
  • Maintain fleet management tracking data and obtain weekly /monthly transport plans to ascertain projected tonnages plan accordingly as recommended.
  • Maintain dispatch book with all deliveries adequately recorded.

 Job Requirements

Qualification

  • Bachelor’s degree in Logistics / Procurement and Supply Chain or related field
  • Certified member of the Institute of Procurement and supplies
  • A valid Driver’s License
  • Certified first-aider
  • Certificate of good conduct

Experience

  • 3 years’ experience working in a store/warehouse environment is preferred.
  • Demonstrate at least 3 years of professional competence in driving in an international humanitarian organization.
  • Physical ability to perform tasks requiring heavy lifting and moving stocks.
  • Basic understanding of mechanical aspects of vehicles

Competencies / Skills

  • Excellent understanding of warehouse management procedures
  • Proficient knowledge of inventory and inventory controls
  • High level of integrity and accountability, flexible approaches to work coupled with enthusiasm, commitment, and energetic
  • Creative thinking, problem-solving, communication, and interpersonal skills
  • Ability to perform multiple tasks and work under pressure with a wide range of individuals and institutions
  • Maintain confidentiality at the highest level at all times.
  • Route planning
  • Sufficient knowledge of Kenya traffic laws and the road network in Nairobi and its environs.
