Job Description
INTRODUCTION
The Ellen Johnson Sirleaf Presidential Center for Women and Development (EJS Center) works to amplify the voice of women and girls in all spheres of life by increasing the representation of women in public service leadership roles in Africa. To support this mission, the EJS Center seeks a qualified IT service provider to manage and enhance its IT infrastructure, develop and maintain critical systems, and ensure that technology effectively supports the organization’s operations and strategic goals.
OBJECTIVES
The objectives of this engagement are to:
1. Ensure the smooth functioning of all IT systems, including networks, hardware, and software.
2. Provide ongoing technical support to staff to minimize disruptions.
3. Improve the security of the organization’s IT systems, ensuring compliance with relevant data protection laws.
4. Recommend and implement cost-effective technology solutions tailored to the organization’s size and needs.
5. Develop a comprehensive IT strategy to accommodate future growth and evolving technological needs.
SCOPE OF WORK
The IT service provider will be responsible for the following tasks:
IT Infrastructure Management
· Monitor and maintain the organization’s hardware (desktops, laptops, printers) and network infrastructure (routers, switches, firewalls).
· Implement scalable solutions to support organizational growth.
Software and Systems Management
· Install, update, and manage software solutions, including:
o Advanced accounting tools for multi-currency transactions, grant management, and financial reporting.
o Digital asset management systems for tracking physical and digital resources.
o Project management tools for monitoring project timelines, deliverables, and team collaboration.
Cybersecurity
· Implement and maintain robust security measures, including firewalls, anti-virus software, and regular security audits.
· Ensure compliance with relevant data protection laws.
· Develop and maintain an incident response plan.
Data Backup, Recovery, and Analytics
· Conduct regular data backups, both locally and in the cloud.
· Develop and implement a disaster recovery plan.
Vendor and Cloud Services Management
· Liaise with third-party vendors for hardware procurement, internet services, and software licensing.
· Manage cloud-based services, including email, file storage, and collaboration tools.
IT Strategy Development
· Collaborate with the Center’s leadership to develop a scalable IT strategy aligned with organizational goals.
· Conduct periodic assessments to recommend upgrades or new technologies as needed.
Training and Capacity Building
· Conduct regular training sessions to enhance staff proficiency with new systems and tools.
· Provide comprehensive user manuals and support materials.
DELIVERABLES
The IT service provider will deliver the following:
- A functional and reliable IT system with minimal downtime.
- Quarterly performance reports summarizing system performance, helpdesk issues, security audits, and IT infrastructure health.
- Cybersecurity improvements including the implementation of security protocols, regular updates, and incident response plans.
- Backup and Disaster Recovery Plan documentation.
- Annual IT Strategy Report outlining recommendations for future technology improvements and budgeting for IT needs.
QUALIFICATIONS AND EXPERIENCE
The IT service provider must demonstrate:
· At least 3 years of experience providing IT services to small nonprofits or similar organizations.
· Expertise in network management, cybersecurity, cloud services, and general IT support.
· Proven experience with Microsoft Office 365, Google Workspace, and other cloud-based platforms.
· Strong understanding of data protection regulations relevant to nonprofits.
· Certifications in relevant areas, such as Microsoft Certified Professional (MCP), Cisco Certified Network Associate (CCNA), or CompTIA Security+ etc.
SUBMISSION GUIDELINES
Interested IT service providers should submit their proposals by March 28, 2025.
Proposals must include:
1. A detailed breakdown of services offered.
- Resumes of key team members.
- A list of previous clients, preferably nonprofits, with references.
- A proposed budget aligned with the services requested.
