Rethink Wellbeing is a global mental health nonprofit organization founded in early 2023, with the mission to spread mental well-being at scale. To do so, we use engaging, proven, and low-cost programs tailored to the needs of individual communities. In 2026, our focus will be on continuing to run the CBT Lab, our online group mental health support program, while also pursuing new paths towards scaling our impact by integrating AI and serving neglected groups in LMICs, beginning with India and the Philippines.
About the job
Rethink Wellbeing is scaling AI-enhanced mental health programs across 30+ countries. We are hiring an Executive Assistant who can bring structure to fast growth, take ownership without hand-holding, and think two steps ahead. This is not a passive support role. You will operate as a force multiplier to the founder and leadership team. We value: Strong reliability, clear thinking under ambiguity, fast execution, and calm systems building. If you prefer detailed instructions for every task, this is not the role for you.
The Executive & Operations Assistant is a versatile generalist who can diligently complete a wide variety of tasks and successfully juggle competing priorities. They will support the founder and executive director and ensure the organization runs smoothly across a variety of domains, including finance, charity compliance, human resources, communications, fundraising, logistics, and the development of internal processes and policies’. For some dedicated tasks they will also report to the program manager.
Start Date: An ideal start date is sometime in March or April 2026.
Location: This is a remote position. The salary will be based on standards for this type of position in India or the Philippines.
Contract Type: Freelance/contractor position
Hours: 20 to 40 hours per week
Budget: $425-550/month for 20h/week, $833-1100$/ month for 40h/week, ideally India – or Philippines- based.
What You’ll Do
- Act as the first point of contact for stakeholders, partners, facilitators, participants, applicants, volunteers, and funders (written comms & online meetings)
- Coordinate cross-functional projects, ensuring deadlines and deliverables are met
- Draft correspondence, briefs, sheets, slides, social media posts, and documents on behalf of the CEO
- Anticipate needs and proactively remove friction from the CEO’s workflow
- Handle important and sensitive administrative tasks such as issuing invoices, contracts, and legal documents, deposits, payments, and refunds
- Use automation and AI tools to make processes more efficient
- Handle sensitive information with absolute confidentiality and discretion
What We’re Looking For
- 2+ years as an EA, HR, Operations, or project coordinator, experience with automation tools and generative AI or similar role (startup/fast-growth experience is a plus)
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to juggle multiple priorities and move fast without dropping balls
- High emotional intelligence; can read people and situations with ease
- Thrives in ambiguity and fast-changing environments
- Tech-savvy and quick to pick up tools (Google Workspace, Slack, Notion, etc.)
- Excellent English proficiency: Native or near-native level for clear communication with the team and our community
