Executive Administrative Assistant
Health Services Unit is a dynamic and multidisciplinary department within KEMRI-Wellcome Trust Research Programme dedicated to advancing medical knowledge and improving patient care. HSU spearheads a diverse array of research projects, ranging from observational studies to complex clinical trials in more than 24 county hospitals within Kenya. The department has multiple Principal Investigators each leading their own projects. The department also employs more than 40 dedicated professionals ranging from research assistants, study coordinators and data managers.

o Provided full administrative support to departmental staff by scheduling meetings, taking minutes during meetings, booking venues for internal and external meetings. o Organized departmental calendar of activities and diaries for heads of departments, while ensuring prompt correspondence of emails and follow-up on set action plans. o Supported ethical approval processes by keeping a database of all proposals and coordinating reminders for any renewal and making sure all documents are submitted for renewal or closure to Scientific and Ethics Review Unit (SERU) timely. o Received and attended to visitors to our department. Answered general phone inquiries related to the department, directed phone inquiries to the appropriate staff for necessary action and reply to general information requests with accurate information in a timely manner. o Assisted in preparing budgets for fieldwork, meetings, and travels, carrying out quotation analysis and reporting expenditure. Administered petty cash according to established procedures o Coordinated and recorded ordering and procurement of equipment and supplies, including maintaining a register of all equipment, their status and current user; ensuring allocation of costs to appropriate grants within the group; and monitoring use of supplies by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies. o Assisted in maintaining inventory/assets and asset disposal list of all equipment received within the department and keeping an updated list of inventory. o Organized the filing and retrieval of files and documents both physical and electronic to ensure data protection and easy accessibility o Organized staff events including induction and orientation of new staff within the department and offered support during employee resourcing processes, staff retreat party.
