| Annual Contract Compensation Range: | We utilize a location-based compensation model tailored to the cost of living in our contractors’ regions. While our benchmark for this level of role is CAD equivalent of $55,000-65,000, final contract rates are adjusted based on candidates’ geographic location to match local market purchasing power. |

This is an opportunity to join Planeterra at the centre of our Climate & Biodiversity work, supporting the Director, Climate & Biodiversity to deliver an ambitious and growing portfolio. You will play an essential coordination and support role across our Community Tree Growing partnerships, the Ocean Health Fund, our broader Climate & Biodiversity strategy (Our GROW pathway) implementation, and thought leadership activities. The role suits someone who is highly organized, detail-oriented, proactive, and deeply motivated by environmental and community impact.
Roles & Responsibilities
You will work closely with the Director, Climate & Biodiversity across five areas of responsibility:
1. Community Tree Growing Programme Administration & regional handover coordination
You will be the primary administrative and coordination support for Planeterra’s Community Tree Growing partnerships, ensuring all operational processes (including regional handover) run smoothly:
- Track and follow up on partner reporting, ensuring reports are received on time and are complete, and flag any gaps to the Director.
- Coordinate fund disbursements to tree growing partners, ensuring processes are followed accurately and payments are made on time.
- Support the management of partner contract agreements, including drafting, circulating, tracking, and filing new contracts and renewals.
- Organize verification trips to tree growing partner sites, including logistics, scheduling, and briefing support for those conducting visits.
- Support travel partner invoicing and reporting processes related to Community Tree Growing, and contribute to strategy discussions on growing this aspect of Planeterra’s work.
- Over time, take on increasing responsibility for coordinating day-to-day regional management of Community Tree Growing partners.
2. Climate & Biodiversity Strategy Implementation
You will support the Director to deliver activities across Planeterra’s three strategic pillars:
Growing Knowledge
- Facilitate the development of inclusive, accessible, and relevant learning resources to help Community Tourism Enterprises (CTEs) understand and integrate Nature Positive approaches into their operations, products, and services.
- Support regional teams to adapt global tools and guidance to their contexts, tracking what resources exist and where gaps remain.
- Coordinate peer learning connections between regional teams and curate relevant case studies, tools, and reports from across the sector for use by regional managers and CTEs.
- Support regional teams to administer the Nature Positive Community Tourism assessment tool in each of the regions to build a concrete list of CTEs that have / are embedding Nature Positive approaches.
- Support regional teams to use and improve the Nature Positive Community Tourism action plan template to ensure that CTEs have the necessary guidance and framework to successfully embed Nature Positive approaches into their products/services.
Growing Solutions
- Coordinate the day-to-day administration of the Ocean Health Fund: collecting reports from beneficiaries, tracking disbursements, compiling impact reports for funders, and coordinating with the fundraising and communications managers on fund communications.
- Support the development of a Nature Positive Fund category of Planeterra’s Community Tourism Fund, including research, coordination, and administrative tasks as the concept develops.
- Support the development of CTE-led tree growing partnerships in regions by facilitating the identification of suitable CTEs and supporting regional teams with the documentation and tools they need to engage them.
Growing Experiences
- Support regional teams to develop and integrate Community Tourism Experiences with Nature Positive approaches into Travel Partner itineraries.
- Respond to queries from regional teams and travel partners about Nature Positive approaches, providing guidance, answering questions, and reviewing informative content.
- Help ensure that Nature Positive approach content is accurate, compelling, and consistently represented across communications and partner materials.
3. Supporting Regional Manager Collaboration
You will provide the coordination and administrative backbone that enables effective collaboration with Planeterra’s regional managers and teams on Climate & Biodiversity priorities:
- Help prepare materials and background research for regional strategy sessions, structured working sessions, and monthly check-ins with regional teams.
- Assist with tracking regional implementation plans and follow-up actions, helping ensure that agreed activities and milestones are progressing.
- Coordinate document review processes, compiling drafts and ensuring feedback loops between the department and regional teams are efficient and timely.
- Support the logistics, agendas, and follow-up notes for cross-regional workshops and other collaborative sessions.
4. Thought Leadership & Public Speaking Support
You will support the Director to build Planeterra’s public voice on climate and biodiversity issues:
- Research and maintain a tracker of relevant speaking opportunities – including conferences, webinars, trade events, and donor briefings – helping the Director to assess which are worth pursuing and managing submission processes.
- Support preparation for speaking engagements, including drafting briefing documents and helping to refine key messages.
- Assist with drafting short written pieces such as blog posts, LinkedIn articles, or contributions to sector publications.
- Help compile and maintain a bank of case studies and stories that can be deployed flexibly across speaking and writing contexts.
5. Carbon Footprint Tracking
You will coordinate Planeterra’s internal carbon tracking processes:
- Work with regional and global teams to gather the data needed to keep Planeterra’s carbon tracking tool up to date, including sending requests, chasing responses, and quality-checking submissions.
- Maintain the carbon tracking tool, ensuring data is accurate, complete, and ready for reporting; flag gaps or inconsistencies to the Director and help identify ways to improve data collection processes over time.
Desired Skills, Experience and Attributes
This role suits someone who is organized, proactive, and motivated by both environmental impact and community development. You are comfortable managing multiple workstreams independently while communicating clearly with a wide range of stakeholders across time zones.
Experience & Skills
- A genuine passion for environmental sustainability, climate action, biodiversity, and/or community development.
- Experience in programme coordination, project administration, or a similar support role, ideally within the non-profit, conservation, and/or tourism sectors.
- Strong written and verbal communication skills in English. You are able to write clear summaries, follow-up emails, briefing documents, and draft content for external audiences.
- Excellent organizational skills, with strong attention to detail and a track record of following through on commitments.
- Experience managing contracts, grants, or financial disbursements is an advantage.
- Familiarity with CRM systems, project management tools, and document management practices.
- Proficiency in Google Workspace (Docs, Sheets, Slides) and/or Microsoft Office as well as other technology and presentation design tools such as Canva
- Experience in or with the tourism or travel industry is an advantage.
- Familiarity with concepts related to climate change, biodiversity, or Nature Positive approaches.
